Privacy policy
Last updated: August 2026
This Privacy Policy explains how True North Memories collects, uses, and safeguards your personal information in accordance with applicable privacy laws, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Your trust is incredibly important to us!
Information We Collect
To fulfill your orders and provide a great shopping experience, we collect the following types of information:
- Identity & Contact: Your name, billing/shipping address, email address, and phone number.
- Custom Order Data (Your Photos): The images, photographs, and text you upload to personalize your custom magnets.
- Order & Payment Data: Purchase history and payment confirmations (please note, payments are processed securely by our partners, and we never store your full credit card numbers).
- Technical Data: IP address, browser type, device information, and cookies to help our site function properly.
How We Use Your Information (And Your Photos!)
We use your information primarily for order fulfillment, customer support, fraud prevention, and (with your explicit consent) sending marketing updates.
Strict Photo Privacy: The personal photos you upload are used strictly for printing your custom magnets. We deeply respect your privacy and will never use your personal or family photos for our social media, website, or marketing without asking for your explicit, separate permission first.
Disclosure to Service Providers
We only share personal information with trusted third-party processors strictly to operate our store. This includes Shopify (our e-commerce platform), secure payment processors, shipping carriers, and product customization applications (like NINEMAGS) that help process and crop your uploaded photos for printing. Some processors may store data outside of your home country (e.g., in the United States or Canada), meaning your information may be subject to the laws of those jurisdictions.
Marketing Communications
We send commercial electronic messages (like promo emails) only with your express opt-in consent, in compliance with anti-spam legislation such as Canada's Anti-Spam Legislation (CASL) and the US CAN-SPAM Act. Every marketing email contains an "unsubscribe" link that will remove you from our list promptly.
Data Retention
Order records are retained for the period required by tax law (typically up to 6 years). Your uploaded personal photos are kept on our secure servers only for as long as necessary to fulfill your order and handle any potential customer service requests (like remakes), after which they are routinely deleted.
Your Rights & Accountability
Depending on your location, you have the right to access, correct, or request the deletion of your personal information. True North Memories is accountable for the personal information under its control.
If you wish to access your data, have questions about our privacy practices, or want to exercise your privacy rights, please reach out to us at sales@truenorthmemories.ca. Canadian residents also have the right to lodge a complaint with the Office of the Privacy Commissioner of Canada.
